At ZwickRoell, a global leader in material testing solutions, we are looking for an Administrative Coordinator for Service Planning and Compliance (CAE/PRL) to support our Technical Service Department (SAT).
Your role will be key in technician scheduling, CAE/PRL documentation, and administrative support, ensuring that customer services are delivered efficiently and without issues.
Your responsibilities
Service Planning and Coordination
- Plan and coordinate service orders and close technicians’ schedules.
- Communicate with customers regarding service visits, dates, and routes.
- Organize and track shipments of tools and equipment for service interventions.
Documentation Management (PRL / CAE)
- Prepare and manage Health & Safety and CAE documentation required for access to customer facilities.
- Work with CAE platforms such as e-coordina, CTAIMA, Gestiona, or similar systems.
- Ensure compliance with customer and legal requirements before on-site service activities.
Administrative Support to Technical Service
- Prepare service intervention reports (activities, incidents, and results).
- Register and monitor time spent on each service activity.
- Manage document filing, internal coordination, and support in meetings.
- Track equipment warranties and recalibration deadlines, coordinating with factory and suppliers.
- Prepare spareparts quotations and orders, managing lead times and deliveries.
What we’re looking for
- Proven experience in CAE management (mandatory).
- Professional level of Spanish (spoken and written).
- English level minimum B2 (communication with headquarters and international partners).
- Strong skills in office tools, CRM systems, and CAE platforms.
- High organizational skills, attention to detail, and ability to solve issues.
- Team-oriented mindset and strong communication skills.
- Own vehicle required (location with limited public transport access).
Location: Sant Cugat del Vallès, Barcelona, Spain (on-site)
Contract: Permanent
